Staff Training: Our training solution includes detailed project management for both our practice management and chart training in order to keep your practice on schedule and budget while also managing the change management your practice will experience through these new processes.
Training Options: We can facilitate your training at our Muskogee headquarters, at an off-site location close to your practice, or in your own office practice environment. The Go-Live deployment training is always conducted on-site at your practice. Tailored Instruction: To make the transition to EHR as easy as possible, following the training and go-live phases, we provide clients specific and tailored instructions for each job function. Onsite Training: When practices look to "Go electronic", they reach for their most common real-life experiences to guide them, cognitively, about "What is this going to take?" For most people, that's installing some software on their computer and muddling through it.
The problem is, this experience is a poor model to understand EHR implementation:
It implies “This is something you can do with an instruction book and maybe a little help”.
Or “This is something that is experienced at the computer, and the computer only.”
Or “It generally takes a week or two to 'get really good' at it.”
What it misses is:
1. EHR implementation means a THOROUGH examination of all of your clinical workflows and then in some cases, reorganizing them under a new electronic paradigm.
2. “Support” is NOT an instruction book, and NOT a 2-hour class, but a continuous, ongoing monitoring of physician, nurse, and practice management behaviors - And to achieve this requires an entire support mechanism of its own.
3. The 'learning curve' is often longer than anticipated.

How does R&D MedTech convert the legacy paper files into electronic files?
Most practices want every part of the patient’s chart available. However, how often do you look at the entire chart before, during, or right after the patient’s appointment? Therefore, the best and most cost effective solution for most practices is to scan only what they need. R&D MedTech meets with the physicians and staff to decide what information is “TYPICALLY” pertinent to every visit, and then make that the standard protocol.
For example: Sue Smith has an appointment in 72 hours. Normally your staff would pull her chart 24 to 48 hours prior to her appointment and begin to prepare for the visit. They add blank consent, progress notes, and/or necessary forms to “prep” the chart.
When implementing an EHR you can use the same time and workflow process by having your staff continue to pull the charts 24 to 48 hours prior and scan in all of the decidedly pertinent information (3 most recent visit notes, 3 most recent lab results, etc.)
Note: It is important to stamp those documents SCANNED with the date – so that they don’t get scanned again unnecessarily.
Your next question might be: What about the other progress notes or lab results in their chart? I may need those and not know yet? The answer is: The scanning process is a “process”. Just because they have scanned the “standard decidedly pertinent” information, doesn't mean the remaining documents go in the shredder. For the next 2+ (you decide how long) visits, your staff should also send the paper chart in for the appointment. During those visits, you decide if additional documents need to be scanned and flag those to be scanned as well.
Except for specific cases, you should have all of the necessary information scanned in the patient's electronic chart in 2-3 visits. The paper chart should then be archived in your file system, labeled boxes, and/or whatever archive system you decide to use. It is best to keep them on site for the next 2 years. Of course, this solution will NOT work for all offices and/or physicians. However, for the majority of practices, this scanning method is being used with success. The size of you typical charts, daily patient volume, and staff will be taken into consideration when designing a workflow that works for you.
